Privacy PolicyTerms of Service

In short: CloseKite is run by Loriam Holding Ltd in Cyprus. We are the controller for information about our own customers and website visitors, and a processor for the CRM data you store in CloseKite. Your data is hosted in the EU, in a private database per customer. We don't sell personal data, and this website uses no analytics, advertising or tracking cookies.

1. Who we are

CloseKite is a product of Loriam Holding Ltd, a company registered in the Republic of Cyprus ("we", "us"). We operate the website at closekite.com and the CloseKite service at its subdomains. You can reach us about anything in this policy at hello@closekite.com.

2. Our two roles under the GDPR

  • Controller. For the personal data of our customers' account users, people who sign up for a trial, contact us or visit this website, we decide how and why the data is used.
  • Processor. For the personal data our customers put into their CloseKite workspace (contacts, leads, deals, emails, messages, files, meeting bookings, business-card photos and similar), the customer is the controller and we process that data only on their instructions, under the data processing terms in our Terms of Service.

If you are a contact stored in one of our customers' CRMs and want to exercise your rights, please contact that company directly. If you contact us, we will pass your request on and help them respond.

3. What we collect as a controller

  • Sign-up details: company name, your name, work email, phone number (optional), team size, your chosen web address and billing plan.
  • Account and security data: users and their roles, sign-in and two-factor events, IP addresses, browser information and audit logs.
  • Billing data: billing contact, plan, invoices and payment status. Card details are handled by our payment provider; we never store full card numbers.
  • Support: the messages you send us and our replies.
  • Website: this site uses no analytics, advertising or tracking cookies and loads no third-party scripts or fonts. Our network provider may set a strictly necessary security cookie to protect the site from abuse. Our servers keep short-lived technical logs (IP address, page requested, time) for security and troubleshooting.

4. Why we use it, and our legal bases

  • To create and run your account and provide the service (performance of a contract, Art. 6(1)(b) GDPR).
  • To keep CloseKite secure, prevent fraud and abuse, and fix problems (our legitimate interests, Art. 6(1)(f)).
  • To send service messages about your trial, billing, security and important changes (contract and legitimate interests). We may also send account owners occasional product updates, which you can opt out of at any time.
  • To meet our legal obligations, for example accounting and tax records (Art. 6(1)(c)).

5. AI features

When you use AI features such as the Today list or meeting prep briefs, the CRM data needed for that task is sent to our AI model provider to generate the result. The provider processes it on our behalf as a sub-processor, under contract, and does not use it to train its models. The results are stored in your workspace.

6. Where your data is stored

CloseKite runs on servers in the European Union. Each customer gets its own private database, and backups are taken daily and kept in the EU. If a sub-processor handles data outside the European Economic Area, we make sure an appropriate safeguard is in place, such as an EU adequacy decision or the European Commission's Standard Contractual Clauses.

7. Who we share it with

We use a small number of trusted service providers (sub-processors) to run CloseKite, in these categories: EU hosting and backup storage, network and security services, transactional email delivery, payment processing, and AI model providers. When you connect Google services, data is exchanged with Google as part of the feature you enabled. We share data with authorities only where the law requires it. 8. Integrations you connect

If you connect Google Calendar, Google Meet or Gmail, CloseKite accesses only what it needs for the feature (for example, creating meetings from booking links or logging emails on a deal). You can disconnect an integration at any time. CloseKite's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

9. How long we keep it

We keep account and workspace data for as long as the account is active. When an account is closed, we delete the workspace data within 30 days, unless the customer asks us to export it first; copies in backups expire on our normal backup cycle. Billing records are kept for as long as tax and accounting law requires. Technical logs are kept for a short period, normally no longer than 90 days.

10. Security

Every user signs in with two-factor authentication. Each customer's data lives in its own database, traffic is encrypted in transit, access by our staff is limited to what is needed to run and support the service, and backups are taken daily.

11. Your rights

Under the GDPR you can ask to access, correct, delete or export your personal data, to restrict or object to how we use it, and to withdraw any consent you have given. Email hello@closekite.com and we will respond within one month. You also have the right to complain to the Office of the Commissioner for Personal Data Protection in Cyprus, or to the data protection authority where you live or work.

12. Children

CloseKite is a business tool and is not intended for anyone under 16.

13. Changes to this policy

If we change this policy we will update the date at the top. If a change is significant, we will tell account owners by email before it takes effect.
